New Frontier Health Pty Ltd (ABN [pending]), trading as Conference.care (“we”, “us”, “our”), is committed to protecting your privacy. This policy explains how we handle personal information collected through this website (the public Conference.care marketing site), in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. Who we are
Conference.care is a secure platform that helps GPs and other coordinating practitioners run Medicare-funded case conferences. This website is our public, informational site — it lets you learn about the service, read our resources, and get in touch with us. It is not the platform itself, and you do not need an account to browse it.
2. What information we collect
Through this website, we collect only the information you choose to give us and basic technical data:
- Enquiry details — if you submit our contact form or email us, the details you provide, such as your name, email address, phone number, whether you are a patient or a provider, and your message.
- Usage and technical information — basic log data such as IP address, device and browser type, and the pages you visit, collected automatically through cookies and analytics (see “Cookies and analytics” below).
We do not collect patient information, health information, or any clinical case-conference data through this website. That information is only ever handled within the Conference.care platform, under its own privacy policy.
3. How we use it
We use the information collected through this website to:
- respond to your enquiry or support question;
- operate, maintain, secure and improve this website;
- understand, in aggregate, how the site is used; and
- meet our legal obligations.
We do not sell your personal information, and we do not use it for third-party marketing. We use it only for the purposes described here, for directly related purposes you would reasonably expect, or as otherwise permitted by law.
4. Disclosure
We may disclose the personal information collected through this website to:
- Service providers — trusted third parties who help us run this website and respond to enquiries (such as website hosting, email and analytics providers), under arrangements that require them to protect your information. These include Cloudflare, Inc. (website hosting and security), HubSpot, Inc. (enquiry management and live chat), Google LLC (tag management and website analytics) and Microsoft Corporation (session recording and heatmaps). Any further providers will be confirmed here before this policy is finalised.
- Regulators or authorities — where required or authorised by law.
5. Data storage and security
We take reasonable technical and organisational steps to protect the information collected through this website against unauthorised access, loss or misuse, and we keep these measures under review. We retain enquiry information only for as long as needed to respond to you and for our records, or as required by law.
6. Overseas disclosure
Some of the service providers that help us run this website store or process information overseas, or may access it from overseas. Cloudflare, Inc., HubSpot, Inc., Google LLC and Microsoft Corporation are all United States companies; the HubSpot data centre serving this website is located in Australia, but their personnel and systems may access information from the United States and elsewhere. The analytics and session-recording information described in sections 8 and 9 is held by Google and by Microsoft outside Australia. Where information is handled overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles. Any further arrangements will be confirmed here before this policy is finalised.
7. Access and correction
You may request access to the personal information we hold about you from this website, and ask us to correct it if it is inaccurate, out of date or incomplete. To make a request, contact us using the details below. We will respond within a reasonable period and may need to verify your identity first.
8. Cookies and analytics
This website uses cookies and similar technologies to keep the site working, remember your preferences and understand how the site is used. You can control or block cookies through your browser settings, though some parts of the site may not work as intended if you do.
Our measurement tags are managed through Google Tag Manager and the analytics itself is Google Analytics 4, both provided by Google LLC. Google Analytics sets cookies and records the pages you visit, the links and buttons you click, when you leave this site for our booking or clinician portal, your device, browser and referring site, and your approximate location, derived from your IP address. It also records when you submit one of our contact forms — which form you sent, and nothing you typed into it. We use all of this to understand in aggregate which pages and which routes through the site are working. We do not use it to target advertising to you.
9. Session recording (Microsoft Clarity)
To find where this website confuses people, we record how it is used. The tool is Microsoft Clarity, from Microsoft Corporation. It builds a replay of a visit — the pages you moved through, where you clicked or tapped, how far you scrolled and how your mouse or finger moved across the screen — together with your device, browser and approximate location. It also combines visits into heatmaps showing which parts of a page get attention.
What you type is masked. Text you enter into a form field is hidden before the recording leaves your browser, so a replay shows us that a field was filled in, not what was put in it. Clarity is not how your enquiry reaches us — that comes through the form itself, as described in section 2.
Some pages are never recorded. Our pages for patients, families and carers keep basic analytics but are excluded from session recording. Our invite-only page for clinicians loads no tag manager, no analytics and no recording at all.
Recordings and heatmaps are held by Microsoft Corporation, a United States company, and may be accessed from the United States and elsewhere. Microsoft handles this information in accordance with the Microsoft Privacy Statement. Browser settings or extensions that block third-party scripts will stop Clarity loading, and so stop it recording your visit.
10. Live chat
This website offers a chat window so you can ask us a question without filling in a form. It is provided by HubSpot, Inc. and it sets a cookie so we can reply to you and keep your conversation together as you move between pages. Conversations are recorded, and may be reviewed by us and by HubSpot for quality and training purposes. Some replies are generated automatically rather than written by a person; ask to speak to someone and we will pass you to a member of our team. HubSpot handles this information in accordance with the HubSpot Privacy Policy.
Please do not share personal health information in the chat. It is a general enquiry channel and is not part of the Conference.care platform, where patient information is handled under separate safeguards. 11. Security verification (Cloudflare Turnstile)
We use Cloudflare Turnstile to protect our forms from automated abuse. When you submit a form, Turnstile may collect certain technical data (such as browser characteristics and interaction patterns) to verify that you are a real person. This data is processed by Cloudflare, Inc. in accordance with the Cloudflare Turnstile Privacy Policy. No personal information you enter into the form is shared with Cloudflare through Turnstile.
12. Complaints
If you have a concern about how we have handled your personal information, please contact us first using the details below so we can try to resolve it. We will acknowledge your complaint and aim to respond within a reasonable period.
If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
